Merge Contacts (Only SME's can do this)
You should now be able to search for the tool in the omni-bar at the top of the EPL screen:
- You search using the name of the individual and/or business you’re checking for:
- You then select the “merged arrow” icon that is displayed at the top right corner of whichever contacts you’re meaning to merge and all of the ones you choose will appear shaded:
After that they’ll be listed in the “Merge Queue” that is shown on the left-hand side of the screen:
- If you’re still looking for more that might apply you can type in new names, abbreviations, parts of names, etc. in the “search duplicates” at the top right of the screen.
- Seen below is a duplicate of Edison’s being logged as “SCE”, or for most purposes it could possibly be due to a name change someone has had or a company changed their name and want the permit under their new name:
- Once you’re set go to the “merge queue” tab on the left-hand side of the screen and please check to make sure that all of the contacts shown are what you’re wanting to merge. If not, go ahead and hit the trash can icon for whichever ones you don’t want merged. After checking, you will now choose the main contact that everything will be getting merged into by clicking “Keep this contact”:
- After that, go ahead and hit the “merge” button at the bottom right of the screen to perform the action, or you may clear out what you’ve done by selecting “Start Over”:
- When you go to merge, we will NOT be deleting them, only select De-Activate. This’ll keep them in the system in case anybody ever needs them, but they’ll otherwise no longer appear when searching for contacts. All of their records are going to be swapped over to the main one we’re keeping so that everything’s tied to just the one we need. To finish, go ahead and hit “Continue”:
- Once you’re done, you’ll get a pop-up that says you’ve merged them all to the one:
If you go into the contacts tab for any record now, only the one you saved should show up due to the rest being deactivated.
If you need to reactivate the old ones for whatever reason they will still appear when searching in the omnibar at the top of the screen.
After opening those ones you’d just toggle the checkbox in the details tab to “active”, and they’ll be usable again.
That should be it though! If you want to practice you can either go to the “Test” environment IT has set up for us or you can create a few test contacts in the system, merge them for practice, and then delete them afterwards if they’re not useful for anything.
